Dear Mr Cherrington,

Periodic Detention Work Centre

The Board of Directors of the Hastings Rotary Club had met, just before your letter concerning the above Work Centre, was received.  I therefore apologise for the delay in replying.

At our last Directors’ Meeting, the letter was read and considered.  I was instructed by the Board to request certain clarification on a number of points, before the Hastings Rotary Club was prepared to seek a nominee from within its members to serve on your Advisory Committee.  Could I say that our next meeting will be held on 17 August, and so a prompt reply would be not only appreciated, but would also be in the best interests of all parties.

Whilst the Board of Directors is sympathetic to your requirements, you will appreciate that any prospective member of your Advisory Committee must be fully aware of his responsibilities and commitments.  I would, therefore, request the following information:

1.   What is the anticipated size of the Committee, and specifically what organizations have been invited to supply members?
2.   How often is it intended that the Advisory Committee will be meeting?
3.   Exactly what would a Rotarian be required to do, as a member of such a Committee, and what would be his involvement?
4.   How widely have letters, similar to the one received by us, been distributed?
5.   For what period would a member of this Advisory Committee be expected to serve, if he made his services available?
6.   Obviously the Board is not in a position to appoint a member to such a Committee – it would of necessity be a voluntary office. Where would such meetings be held?

I believe answers to the above questions would place the Board in a much more advantageous position to seek a suitable representative to sit on your Committee.  Indeed, without such answers, it would be quite inappropriate for the Board of Directors to approach a likely nominee.
