MINUTES OF THE CLUB SERVICE COMMITTEE OF THE
HASTINGS ROTARY CLUB HELD AT TONG & PERYER LTD
ON WEDNESDAY AUGUST 4 1993
AT 5.15 P.M

PRESENT:
John Peryer (Chairman), Ian Cameron, Craig Kilgour, Derek Burns, Paul Jones, Phil Hocqard, [Hocquard] John Dent, Dick Spence, Ted Tucker, Cyril Wilkie.

APOLOGIES:
Bryon Higgins, Peter Barnes, Kevin Williams, John Mullany, Derek Faulkner

PROGRAMME:
Speakers arranged for next couple of months
Phil to call meeting of sub committee shortly
Frank Crist and Bryon Higgins to give short 2-3 minute address on different Rotary topics once a month.
A need for a balance of speakers when dealing with political topics
Possible debating of club issues instead of speakers

BULLETIN / P.R./ MEDIA:
List of makeups to be reintroduced in the bulletin
Media on Bulletin mailing list
Need to promote our image more strongly – notify paper and try for photographs

MEMBERSHIP:
No new applications at the moment
Target for 10 new members this year
Paul Jones is under control!

SERGEANT AT ARMS:
4 is not enough – currently down to 2. Too much pressure!
Craig has approached a number of members to do 1 or 2 sessions during the year
A need to watch the content of the sessions – PRESIDENT TO COMMENT TO SERGEANTS

MARSHALL:
Leave of absences to be notified from the Secretary to the Marshall Ted so that roster is correct
All members should be on roster including members that are acting as sergeants as a fill in

MUSIC:
Song leader and John Mullany work together
Discussion on the need for the song and the welcome song. – leave as is ! Discuss at Club Day

ATTENDANCE:
Good speakers attract good attendance
Attendance list of ALL members to be published at the end of this Rotary year
More importance to be placed on makeups – 60 % !

HOSTS:
Under control – internal roster for them

VENUE / MEALS:
Good Parking – seating okay
Meals have been of a good standard lately
Sound System is satisfactory – need for President to position mike correctly

CASHIER / ATTENDANCE:
Arrival of float worked out from Derek and Mike Boyce
Attendance list and statistics worked out correctly and passed on to the Secretary, Treasurer and Bulletin editor

FELLOWSHIP:
More fellowship needed within the club
Need for Ladies Day once or twice a year
Perhaps some vocational meetings in addition to those promoted by the vocational committee
Social dinners at half-yearly intervals – meetings at night during the summer months
Investigate forming of social committee
Sitting with different people at each lunch meeting

GENERAL BUSINESS:
Video Promotion of Area:
Following the D.G. visit, it was discussed that a video promoting Napier / Hastings was produced a couple of years ago. Investigation on this video to take place.

Club Banners:
A recommendation from this Committee for Directors to inquire further on this topic

Election of Club Officers:
Discussion noted that the Club in the past is not formal enough on these procedures. This area need considerable work to bring it up to scratch.

Police Computer:
Recommendation to Directors that this project be given consideration either as a project or a cash donation up front.

Books for New Library:
Recommendation to Directors that this project be given consideration either as a project or a new book collection from within the club. i.e. Presents that have only been read once!

General:

A need for more communication from Directors to the Club at large. More information for the new and newer members on what is happening and what is expected.

An overview of the club plan to be delivered by the President at the beginning of the year and regular updates of Director’s meetings during the year.

Important for Committee Chairman to report happening’s within their Committee even if it is not that important.
