Orderlies’ Duties

ROTARY CLUB OF HASTINGS.

ORDERLIES’ DUTIES.

PLEASE STUDY AND KEEP FOR FUTURE REFERENCE.

ALL ORDERLIES:   It is important that all Orderlies should be in attendance not later than 12.15pm.

Any Orderly unable to be present should notify the Club Marshall by telephone as soon as possible. It is the Orderly’s duty to make every effort to arrange a substitute, notifying the name to the Club Marshall.

CLUB MARSHALL:   The duties of the Club Marshall are to organise the activities of all the Stewards for the day and call on other fellows to help in the case of necessity. He is also to receive apologies from Orderlies and where a substitute has not been provided to make the necessary arrangements. He will nominate a Member to take the Gray Wilkinson Shrapnel Bowl round the Room.

SPEAKER’S ORDERLY:   The Speaker’s Orderly will wear the ribbon badge. It is his duty to ensure he has the Speaker s name correctly and see that after his name is recorded in the visitors’ Book he is introduced to the President, Vice President and as many of the fellows of the Club as possible. It is wise to endeavour to ascertain beforehand what Club Member will be accompanying the Speaker so that he may be readily recognised on arrival. The Speaker will sit immediately at the right hand of the President with the Orderly again on the Speaker’s right hand. A visiting Rotarian Speaker will, of course, introduce himself. Where an introduction is necessary the Speaker’s Orderly will do this when the introduction of Visitors is called for by the President by introducing him as fully as possible as “Our Speaker for To-day”.

VISITORS’ ORDERLY:   Will wear the appropriate Ribbon Badge. It is the duty of the Visitors’ Orderly to see that all visiting Rotarians and Members’ Guests are also entered in the Visitors’ Book, also to see that the appropriate cards for visitors and visiting Rotarians are made out.

It will then be necessary to ensure that the visitors are under the guidance of a Fellowship Orderly for further introductions. It is the Visitors’ Orderly’s duty after the completion of the meal to ensure that the name cards for the visiting Rotarians are handed to the Secretary for despatch to the respective Clubs.

[Handwritten – Hand Visitors book to President – Now! Transfer to large card – PRINT IT!]

FELLOWSHIP ORDERLY:  [Crossed out – The Fellowship orderlies will wear the ribbon badge marked “Reception”.] It is their duty to watch for all visitors and see that they are accompanied to the Visitors’ Orderly who will attend to necessary formalities. In the case of visiting Rotarians they will be introduced to the President, Vice President and as many Members as possible and to see that if practicable he is introduced to his opposite number classification in the Club. The main duty of these Orderlies is to promote goodwill and good Fellowship by a warm and cheerful welcome to Visitors and to our Members alike.

MESS ORDERLIES:   The Mess Orderlies are expected to serve meals as quickly as possible and where practicable to work to a system of a number of tables allotted to each Orderly. It is necessary to see that those seated at the President’s table are served first.

BADGE ORDERLIES:   It is the duty of the Badge Orderlies to take the cash for the day and account for it to the Treasurer after the meal. To issue Members’ Badges and return them to the Board in due course.

TEA & COFFEE ORDERLIES: It is their duty to watch for the Tea and Coffee and to commence pouring out as soon as possible.
