WINE AND CHEESE EVENING

FRIDAY

VARIETY CHEESE, WINE, JUICE CRACKERS ETC   $9.00 PER HEAD

A PIANIST WOULD COST $30.00 PER HOUR

THE FUNCTIONS COMMITTEE FEEL $15.00 PER HEAD IS A VERY REASONABLE CHARGE FOR THIS EVENING AND ALSO GIVES US SOME EXTRA TO HELP KEEP COSTS DOWN ON THE SATURDAY EVENING.

THE CHEESE FOR THIS EVENING WILL ALL BE FERNDALE CHEESES AND THERE WILL BE A VERY REASONABLE SELECTION TO CHOOSE FROM.

ALL WINE AND JUICE WILL BE INCLUDED IN THE PRICE UP UNTIL 10 O’CLOCK AFTER WHICH YOU MAY PURCHASE YOUR OWN DRINKS AT A VERY REASONABLE COST OF $2.50 PER DRINK.

SATURDAY LUNCH

THERE ARE TWO OPTIONS FOR THIS LUNCHEON

1.   BARBEQUE –

THINGS TO TAKE INTO CONSIDERATION FOR THIS OPTION.

COSTS INVOLVED, BBQ HIRE, MEAT, PLATES, BREAD, IF SALADS ARE INVOLVED, KNIVES AND FORKS, SERVIETTES ETC.

WHO IS GOING TO DO THE COOKING.

SEATING.

2.   CUT LUNCH –

THESE LUNCHES COULD BE MADE BY A SERVICE CLUB FOR A DONATION WHICH WOULD BE BUILT INTO THE COST.

LUNCH WOULD CONSIST OF SANDWICHES, FRUIT, CHEESE SEGMENT, RAISINS AND A DRINK.

PRICE PER HEAD FOR THIS OPTION WOULD BE $5.00

DINE AND DANCE

SATURDAY EVENING

I SHALL LAY OUT THE COSTS WE HAVE TO HAND THEN EXPLORE THE MANY OPTIONS WE HAVE TO CHOOSE FROM FOR THIS EVENING.

THE COSTS ARE AS FOLLOWS:-

MEAL   $30.00 PER HEAD
BAND   $ 1.00 PER HEAD
TRIMMINGS – BALLOONS TABLE DECORATIONS  ETC   $ 1.00 PER HEAD
MARQUEE – THIS QUOTE INCLUDES TABLES AND CHAIRS COVERED WALKWAY   $ 5.00 PER HEAD
MARQUEE – SECOND PRICE ALSO INCLUDES TABLE AND CHAIRS   $ 9.00 PER HEAD

I HAVE LOOKED INTO THE COST OF DOING A REUNION WINE BUT FEEL THE COST OF THIS WOULD BE TOO GREAT. WE WILL NOW LOOK AT A BULK WINE PRICE SO CARAFES WOULD BE SERVED ON THE TABLES.

QUOTE FOR BEER COASTERS –

PRINTED 2 COLOURS AND SQUARE CUT
1000   $286.00 + GST $35.75 = $321.75
1500   $332.00 + GST $41.50 = $373.50

THESE WOULD BE PRINTED IN SCHOOL COLOURS AND COULD BE USED FOR BOTH EVENINGS.

AS I MENTIONED WE HAVE SEVERAL OPTIONS FOR THIS EVENING.

FIRST THE MEAL. WHEN WE ORIGINALLY SPOKE TO NEIL, WE DECIDED ON A BUFFET MEAL CONSISTING OF SEVERAL MEATS, SALADS, VEGETABLES ETC. THE HANDLING OF THIS TYPE OF MEAL WOULD BE THE MOST REALISTIC FOR THE CATERERS TO HANDLE. WE HAD TO TAKE INTO CONSIDERATION NUMBER OF STAFF TO SERVE AND PREPARE THE FOOD, THE KITCHEN FACILITIES AS AVAILABLE AND FACILITIES NEEDING TO BE HIRED.

THE SERVING OF THIS MEAL. WE THEN HAD TO LOOK AT HOW PEOPLE WERE GOING TO EAT THIS MEAL EITHER SEATED OR STANDING. STANDING WAS RULED OUT AS THE RANGE OF FOOD IS NOT FINGER FOOD THEREFORE KNIVES AND FORKS ARE NEEDED. WE HAVE INVITED OUR GUESTS TO A DINE AND DANCE SO WE FEEL A PROPER MEAL IS REQUIRED. SOME OF THE FOLK WILL BE QUITE HAPPY TO MANAGE WITH JUST A SEAT SO THE MEAL COULD BE EATEN OFF THE LAP BUT THERE ARE THOSE FOLK WHO NEED A TABLE TO EAT FROM. THE SEATING IN THE RESTAURANT IS 400 WITH THE TABLES PROVIDED SO WE HAD TO LOOK AT OTHER OPTIONS. THE OTHER OPTIONS WE HAVE LOOKED AT ARE HIRING MORE TABLES AND CHAIRS AND HAVING SOME OF THE PEOPLE ON THE SECOND FLOOR. THIS WAS DISCUSSED BUT THE CATERERS ARE NOT PREPARED TO HAVE THEIR STAFF CART FOOD UP THE NARROW STAIRWAY AND WE ARE NOT HAPPY WITH HAVING PEOPLE CARRY THEIR OWN PLATE OF FOOD AND DRINK UP THE STAIRS. HAVING SEVERAL HUNDRED PEOPLE ALL CARRYING PLATES AND GLASSES UP AND DOWN STAIRS IS OUT.

NEXT OPTION. HIRING A MARQUEE AND HAVING A COVERED WALKWAY OUT TO THIS AREA. BOTH QUOTES ALLOW FOR TABLES AND CHAIRS SO EVERYONE COULD BE SEATED. THE CATERERS ARE QUITE HAPPY TO HAVE A SERVING STATION IN A MARQUEE. THE DOWNFALLS OF THIS IDEA SEEM TO BE COST AND THE WALKWAY HAVING TO GO SOME DISTANCE UP A GENTLE SLOPE TO A FLAT AREA.

NEXT OPTION. JOHN LANE HAS TABLES AND CHAIRS WHICH WILL SEAT BETWEEN 600-700 PEOPLE IN THE RESTAURANT.

THE FIRST QUOTE FOR THE MARQUEE IS MADE UP AS FOLLOWS:-

SEATING AT A TABLE FOR 600   $5,000

SEATING AND SOME TABLES FOR 600   $4,000
DECORATED   $4,600

IF WE PROVIDE OUR OWN LABOUR TO ERECT AND DISMANTLE MARQUEE   LESS $400-$500

IF WE PROVIDE A TRUCK FOR CARTAGE   LESS $100

THE SECOND PRICE WAS FOR A STRAIGHT $9.00 PER HEAD.

THIS PRICE INCLUDED TABLES, CHAIRS AND MARQUEE HIRE.

SINCE OUR LAST MEETING WITH THE NEIL AND LAURIE AT THE RACECOURSE I HAVE HAD ANOTHER INFORMAL MEETING WITH THEM. AT THIS MEETING WE DISCUSSED AT LENGTH THE DIFFERENT OPTIONS.

LAURIE AND NEIL ARE BOTH OPEN TO ALL SUGGESTIONS AND WOULD LIKE US TO COME TO SOME CONCLUSIONS AT OUR JULY MEETING AND ARE BOTH PREPARED TO ATTEND THE AUGUST MEETING AT THE SCHOOL TO DISCUSS AND FINALISE WITH US ALL THE MENU AND SEATING ARRANGEMENTS ETC.

I HOPE THIS WILL BE OF SOME ASSISTANCE TO ALL COMMITTEE MEMBERS AND SOME DECISIONS CAN BE MADE ON TUESDAY NIGHT.
